<p><strong>Administrative Assistant for the FreeBSD Foundation (Boulder)</strong></p>
<p>The FreeBSD Foundation is a non-profit organization dedicated to supporting and building the FreeBSD Project and community worldwide.</p>
<p>We are currently accepting resumes for a part-time Administrative Assistant. This is a work from home position and will provide administrative support to The FreeBSD Foundation. The job is flexible, working 10-20 hours per week, meeting weekly at the start. The position is temp to hire and will start as contract work for 90-days with the possibility of part-time employment.</p>
<p>Need someone with at least 4-years office administrative experience, who is a strong communicator, with good written and verbal skills, detail oriented, open to learning a wide variety of skills, trustworthy, positive, problem solver, ability to effectively prioritize, and is reliable.</p>
<p>The person will work under the direct supervision on the Executive Director.</p>
<p><strong>Essential Administrative Functions:</strong></p>
<ol>
<li>Donation logging and management
<ol>
<li>Several times each month log into SalesForce and post incoming donations</li>
<li>Log donations made by checks and wire transfers into SalesForce</li>
<li>Log donations made by BitPay (Bitcoins).</li>
<li>Email thank you letters for checks and bitcoin donations</li>
<li>Convert individual to organization donor in SalesForce when needed.</li>
<li>At the first of each month run a PayPal report and the balance should match the SalesForce report</li>
<li>At the first of each month run a Click & Pledge report and the balance should match the SalesForce report</li>
<li>After each conference log the Swag and Donation amounts into SalesForce</li>
<li>When needed cancel recurring Click & Pledge donations</li>
<li>Check monthly the SalesForce account for Click & Pledge expiring credit cards and email the donor</li>
</ol>
</li>
<li>Travel Grant Processing
<ol>
<li>Send email reminders to people who have been approved for a grant to attend a FreeBSD conference to submit their expense report and receipts</li>
<li>Review expense reports and verify receipts and amount is within approved amount.</li>
</ol>
</li>
<li>Accounting/Bookkeeping/Payroll
<ol>
<li>Deposit checks at Chase Bank</li>
<li>Pay monthly bills and vendor/contractor invoices</li>
<li>Post credit card payments in QuickBooks</li>
<li>Generate Invoices in QuickBooks</li>
<li>Knowledge of payroll system interface (ADP preferred)</li>
<li>Issue either wire transfer or a check for incurred expenses</li>
</ol>
</li>
<li>General Administrative Work
<ol>
<li>Make travel arrangements for board and staff members.</li>
<li>Help organize local staff retreat and Colorado developer summit. Help with other developer summits.</li>
<li>Work with marketing director on keeping track of marketing inventory. Order swag when needed. Make small changes to website when requested.</li>
<li>Help with managing trademark permissions.</li>
<li>Keep track of hardware purchasing and budget. Update asset list, create asset tags, and mail out.</li>
<li>File and organize Foundation documents. This includes softcopies on our server.</li>
<li>Buy gifts for staff and large donors and ship.</li>
<li>Several times each month go to the post office</li>
</ol>
